Schedule 03: PNL Inventory

1. What is included

• Business account with owner, administrator, and crew roles.
• Unlimited items, with cost and price fields, barcodes, and photos.
• Stock movements (receive, move, consume, adjust) by scan or manual entry, attributed to the user and device.
• One physical address, with unlimited sections, bins, and areas inside it.
• Crew PIN login on shared devices (90-day session).
• Label printing to a compatible label printer through the PNL print relay running on a computer you control.
• Scheduled reports by email to recipients you choose, and CSV exports.
• Email support under section 12 of the Terms.

2. Price

Prices exclude taxes. Provisioned accounts (sign-up by PNL on your behalf) may carry a quoted setup or import fee, non-refundable once work starts (Terms section 4.8).

3. How quantities are counted

3.1 User. Any login that is active (not deactivated) at the nightly sync, including the owner, administrators, and crew PIN users. Deactivated users do not count.

3.2 Physical address. A distinct real-world location where you keep inventory, such as a warehouse, yard, shop, or storage unit, configured as a location in the app. Sections, bins, racks, and areas inside one address are free and unlimited. Two buildings at the same street address are one address. A vehicle that is tracked as a location counts as an address if it is configured as one.

3.3 Sync and proration. Counts are synced to Stripe nightly and prorated within the period. Reductions create a prorated credit on your next invoice.

3.4 Items. Unlimited. We may apply reasonable technical limits on item photos and attachments to protect the service and will tell you if you approach them.

4. Counts, costs, and valuations are yours

4.1 Everything the app reports (on-hand quantities, costs, prices, valuations, movement history) is derived from what you and your Users enter and scan. We do not verify it against physical stock.

4.2 You are responsible for physical counts, for reconciling discrepancies, for the accounting method you apply (for example average cost), and for your tax treatment of inventory. Reports are not a substitute for a physical count or an accountant.

4.3 Scan events record a random device identifier so you can see which device recorded a movement. This identifier is not tied to a person by us; it is tied to a device your team uses.

5. Ledger immutability

5.1 Stock movements are written to an append-only ledger. Entries are never edited or deleted by Users or by PNL while your account is active. Corrections are recorded as new reversing or adjusting entries that reference the original.

5.2 This is a feature, not a limitation we will remove on request. If you need a record removed for a legal reason, contact support and we will discuss options, which may include adding an annotation or, in exceptional cases, administrative redaction with a logged reason.

5.3 The ledger is Customer Data and is deleted with the rest of your data under Terms section 9.

6. Label printers and print relay

6.1 Label printing uses the PNL print relay, a small program that runs on a Windows or Mac computer you control and sends print jobs to a label printer on your local network or connected by USB or Bluetooth.

6.2 You are responsible for the computer, the printer, the network, printer firmware, labels and consumables, and for keeping the relay computer powered on and reachable. The relay sends the printer's host address to our servers so jobs can be routed.

6.3 We support printers we have listed as compatible. Others may work but are not supported. We do not warrant any printer or label output and are not responsible for misprinted or wasted labels.

6.4 Install the relay only on a computer you own or control and have the right to install software on.

7. Limits

• No hard cap on users or addresses; overage pricing applies.
• Report emails are limited to recipients you add. You are responsible for having a right to send reports to those addresses.
• Export and report generation may be rate-limited.

8. Export and your records

CSV exports of items, stock levels, and movements are available in the app during your subscription and the 30-day retention window after it ends. If you need a format not offered, ask support under Terms section 7.7.

9. Data this app collects

User name, email, phone, PIN (hashed); item records including cost and price; stock movements with user and device identifier; report recipient email addresses; printer host IP; session records. See the Privacy Policy.

10. Mobile app

The PNL Inventory app for iOS or Android, when available, is for signing in, scanning, and recording movements. Camera permission is used only for barcode scanning. Terms section 26 applies.

This is version 2026-10-13, effective October 17, 2026. It is the first version published under this numbering, so there are no earlier versions of this document to list.
